How to Send Receipts on WhatsApp (and Why Customers Return)

A customer pays you GH₵190 by MoMo and you reply "Received, thanks!" — and to you, the sale is done. To her, something is missing: proof. This guide shows you how to send a proper receipt on WhatsApp — what goes in it, whether text, screenshot or PDF is best, and why the shops that send receipts are the shops customers come back to.

"Thanks, I've received it" is not a receipt

Think about what your customer is doing when she buys from a WhatsApp shop: sending money to someone she may never have met, for goods she hasn't touched, days before delivery. She's extending you trust — and all she holds in return is a chat thread.

"Received, thanks 🙏" confirms you got the money. It gives her nothing. If the wrong size arrives, if delivery slips, if she needs to show what she paid, her evidence is scrolling backwards through a conversation, screenshotting fragments — "the price was somewhere up here..."

A receipt fixes that in one message. It says: here is what you bought, here is what you paid, here is the date, here is who to contact. It costs you thirty seconds. And it moves your shop, in her mind, from "someone I sent money to on WhatsApp" to "a business I have a record with." That shift is worth more than any promotion you'll run this year.

What a proper receipt includes

Six things, no more:

  1. Your shop name and number — who issued it, who to contact.
  2. A receipt number — even a simple running count (#0142). It makes lookups easy and your shop feel organised.
  3. Date of payment.
  4. The items — name, size/colour, quantity.
  5. Amounts — item price (the agreed price, after any negotiation), delivery fee, and total paid, with the payment method.
  6. A warm closing line — you're a shop, not a tax office.

Here's a full example you can copy and adapt:

FEFE BOUTIQUE — Receipt #0142 Date: 20 July 2026 Customer: Ama O. 1 × Red Ankara Dress (size 12) — GH₵170 Delivery (Madina) — GH₵20 Total paid: GH₵190 — MTN MoMo ✅ Thank you for shopping with us! 💛 Fefe Boutique · 055 XXX XXXX · IG @fefeboutique

One important habit: the receipt shows the price she actually paid, not the posted price. If she negotiated from GH₵180 to GH₵170, the receipt says 170. A receipt that matches the chat builds trust; one that doesn't starts an argument.

Text vs screenshot vs PDF: what each says about your shop

A text receipt — the example above, sent as a WhatsApp message — is the honest minimum. Free, fast, searchable. Its weakness: it looks like every other message, gets buried in the chat, and is trivially easy to edit, so nobody treats it as strong proof.

A screenshot of your notebook or your MoMo alert is the one to avoid. Forwarding your own MoMo alert can expose your balance or other customers' names, and a screenshot of a handwritten book says "informal" louder than anything else you do.

A PDF receipt is a different category. It arrives as a document with your shop's name on it — she can save it, print it, forward it, find it in her files in ten seconds. It can't be edited with a thumb. And it carries a quiet message no text can: this shop keeps records. When a customer is deciding between two boutiques for a GH₵400 order, the one that issued her a proper document last time has an advantage the other one doesn't even know exists.

If you're making receipts by hand, a text receipt in the format above is a fine start — better than 90 messages of "received, thanks". Move to PDF when you can.

Receipts and trust: why documented buyers become repeat buyers

Here's the part sellers underestimate. A receipt isn't paperwork — it's the last impression of the sale.

The first purchase from any WhatsApp shop is the scary one; the customer half-expects to be disappointed. When instead the money is confirmed promptly, a proper receipt lands, and the delivery matches the receipt — the fear she brought is resolved completely. Buying from you a second time requires no courage at all. That's what a repeat customer is: someone for whom buying from you has become the safe option.

The receipt also keeps working after the sale. It sits in her phone with your shop's name and number on it — a business card she'll keep. When her friend asks "where did you get that dress?", forwarding your receipt or your contact takes two taps. And when there is a problem — wrong size, delayed delivery — the receipt turns a shapeless argument into a simple fix: here's the record, here's what's owed. Handled that way, a complaint often produces a more loyal customer than a smooth sale would have. None of this happens for the seller whose paper trail is "thanks, received it."

The receipt is one half of getting paid properly; the other half is collecting the money at the right moment and confirming it safely — we covered that in how to take MoMo payments for WhatsApp orders.

Sending a PDF receipt automatically after every order

Everything above has one catch: on your busiest day — the day of the most orders and the most money — receipts are the first thing you skip. Thirty seconds each, forty times, at 10pm, after packaging all evening? Most sellers stop by week three. So the habit that builds the most trust dies exactly when the most customers are watching.

This is why Vendwa makes receipts automatic. When a customer orders — whether the chat happened at 2pm or 2am — Vendwa captures the full order (item, size, agreed price, delivery details) the moment she says yes, and once you confirm the payment with one tap, she gets a proper PDF receipt with your shop's name on it. Every order, every customer, without you remembering anything. Order #200 gets the same clean document as order #1. See how orders and receipts work in Vendwa.

Common questions

How do I send a receipt on WhatsApp? Send a structured message right after confirming payment: shop name, receipt number, date, items, price paid, delivery fee, total and payment method. A PDF version is stronger — it's a document, not a chat message.

What should a WhatsApp receipt include? Shop name and contact, receipt number, date, items with size or colour, the agreed price, delivery fee, total paid and payment method. Always show the price the customer actually paid.

Do small WhatsApp shops need receipts? Yes — small shops most of all. A receipt is the cheapest trust-builder you have: it proves the payment, professionalises the sale, and makes the second purchase feel safe.

Can receipts be sent automatically? Yes. Vendwa sends a PDF receipt with your shop's name after every confirmed order, whatever the hour — the order details are captured in the chat, and the receipt goes out once you mark the payment received.
